What does The Conference Group actually do as your PCO?
Our organisers turn your committee’s vision into a delivered conference. We manage budget and timeline, venue and suppliers, registration and the event app, speaker and abstract logistics, sponsorship/exhibition, marketing and comms and full on-site operations. One accountable team, end to end.
How early should we bring you in?
12 to 18 months out is ideal for venue, program design and sponsorship runway, but we can jump in at any stage. If your timeline is shorter, we run a quick start plan with accelerated decisions and weekly WIP to keep momentum.
Can we hire you for just part of the event?
Absolutely. Our services are modular. Engage us for venue sourcing, registration/app, sponsorship sales, speaker/abstracts, marketing, on-site management, AV production, or choose full service.
Do you handle abstracts, speakers and program build?
Yes. No matter where you are across Melbourne, Sydney or wider Australia, our conference organisers set up and manage the abstract portal and review workflows, chase bios and slide decks, prepare speaker packs, build the running sheet and coordinate AV, so every presenter is supported and on time.
Do you also provide Association Management (secretariat) support?
Absolutely, we do. For associations that need continuity year round, we provide secretariat services: member inbox and phone line, board and committee support (agendas, minutes and action tracking), AGM and elections, finance/admin (invoicing and reconciliations in collaboration with your accountant), CRM upkeep and supplier management, scoped to fit your needs.
How do your fees and commissions work?
Transparent and simple. Our conference organisers quote your association with a fixed project fee for a defined scope with pass through supplier costs at net. Any third party commissions (for example, hotels) are disclosed and either rebated or credited per our agreement.
Who owns our data and IP?
You do. Delegate data, sponsor lists, website/app content and creative assets remain the association’s property. We provide secure access and exports at any time and ensure portability if platforms ever change.
How do you grow registrations and sponsorship revenue?
We start with goals and audience segments. Then build a timeline with early bird, member referrals and partner promotions.
